Privacy Policy
Callback is a tryout evaluation platform for youth sports clubs, operated by McKerin Software, Inc. ("we", "us"). This policy describes what information the Callback app and this website handle, and how we protect it.
Who uses Callback
Callback is used by adult evaluators and administrators authorized by a sports club. Evaluator and administrator accounts are created by the club's administrators; clubs can sign up their organization directly. The app is not directed at children.
Information we process
- Evaluator account information. Your email address and authentication credentials, used to sign in and to attribute evaluations to you.
- Evaluation content. The skill ratings, notes, and physical measurements you enter, with timestamps and a device identifier used to synchronize data reliably across devices.
- Player registration information. The club provides its tryout registration list — player names, dates of birth, grade, city, positions, shirt size, age group, and tryout check-in details. This information is about youth athletes, including minors. It is collected by the club through its own registration process (with parent or guardian consent obtained by the club), and we process it on the club's behalf solely to run its tryout evaluations.
- Club staff directory. Coach and staff names, email addresses, and phone numbers the club enters to manage its teams.
- Player and family contact details. At the club's direction, Callback can retrieve player and parent/guardian contact information (names, email addresses, phone numbers) from the club's own registration system and transmit it to services the club connects, such as the club's mailing-list provider. We process this information solely on the club's behalf.
- Billing information. Club subscriptions are processed by Stripe, our payment processor; we do not store card numbers.
How information is stored and protected
- Data is stored on Amazon Web Services (AWS) infrastructure in the United States.
- Data is encrypted in transit (HTTPS) and at rest.
- Access requires an authenticated, club-authorized account. Player information and evaluations are visible only to the club's authorized evaluators and administrators.
What we don't do
- We do not sell personal information.
- We do not show ads.
- We do not use third-party analytics or tracking in the app.
- We do not share information with anyone other than the club that provided it, services the club itself connects and directs (such as the club's mailing-list provider), and service providers (such as AWS and Stripe) that support the service.
Data retention and deletion
Evaluation and registration data is retained for the club's tryout season and handled at the club's direction. Evaluator accounts are provisioned by the club; to have your account or data deleted, contact us or your club administrator and we will honor the request promptly.
Children's privacy
The Callback app is used by adults. Information about minor players is provided to us by the club as described above; we act as a service provider to the club, process that information only to deliver tryout evaluations, and delete it at the club's direction.
Changes to this policy
If we make material changes to this policy, we will update this page and revise the effective date above.
